About the Job: 

The Senior Production Coordinator plays a critical role in managing day-to-day production activities across multiple product categories. This position focuses on tracking timelines, maintaining accurate documentation, and coordinating with vendors and internal teams to ensure smooth production flow from purchase order issuance through shipment.
 

Responsibilities:

  • Purchase Order Coordination: Prepare and issue vendor purchase orders accurately and on time. Confirm vendor acknowledgment and maintain organized records.
  • Production Tracking: Monitor production progress from order confirmation through bulk production and shipment. Update and manage weekly WIP reports, flagging delays or discrepancies promptly.
  • Timeline Management: Maintain detailed production calendars and ensure all milestones—fabric approval, trims, cutting, sewing, testing, inspection, and shipment—are met according to confirmed delivery dates.
  • Vendor Communication: Act as the primary point of contact for day-to-day vendor inquiries. Follow up on pending tasks, share updated tech packs and BOMs, and escalate issues when necessary.
  • Quality Coordination: Ensure vendors submit passed testing and inspection reports before shipment. Track testing and inspection schedules and confirm compliance within shipping timelines. Collaborate with QA Manager to resolve quality issues.
  • Documentation & Reporting: Maintain accurate production records and WIP files. Provide weekly updates to the Sr. Director of Sourcing & Supply Chain, Production Manager, and cross-functional teams.
  • Problem Resolution: Identify potential delays or bottlenecks early and work with vendors and internal teams to resolve issues quickly. Escalate critical concerns to management.
  • Compliance Support: Assist in verifying that all production meets regulatory and sustainability requirements for U.S., EU, Canada, Australia, and other markets.
  • Cross-Functional Collaboration: Coordinate with Product Development, Technical Design, and QA teams to ensure production aligns with design intent and quality expectations.
  • Categories Supported: Apparel (Casual, Athleisure, Sleep), Kids & Pet Apparel, Home, Handbags, Luggage, Accessories.
 

Requirements:

  • 5–10 years of experience in production coordination or related roles.
  • Strong organizational skills with exceptional attention to detail.
  • Proficiency in digital communication tools (Slack, WhatsApp, Google Meet, Zoom) and spreadsheet tools (MS Excel, Google Sheets).
  • Familiarity with apparel production processes, timelines, and quality standards.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Excellent communication skills for vendor and internal team coordination.
  • Problem-solving mindset with the ability to anticipate and address issues proactively.
